Erasmus+ Staff Mobility Applications
Project 2019-1-TR01-KA103-062220 and 2020-1-TR01-KA103-080462
Important dates:
Application start date: 21 June 2021
Application deadline: 12 July 2021
Announcement of successful candidates: no later than 27 July 2021
Deadline for appeal against results: 30 July 2021
Latest date by which planned mobility must end: 31 May 2022
1. Erasmus+ Staff Mobility for Teaching (Maximum number of candidates to be selected: 25)
- This sub-action enables staff who are required to teach at a higher education institution holding an ECHE (Erasmus University Charter) to teach at an ECHE holder higher education institution in another European country, provided that they teach at least 8 hours. An Erasmus+ Bilateral Agreement must be in place between the two departments for the mobility to take place.
- In staff mobility for teaching, if the teaching programme and/or certificate of participation does not clearly show that the beneficiary taught at least 8 hours, the activity will be considered invalid and no grant payment will be made to the beneficiary.
-
Under the 2019 and 2020 KA103 projects, mobilities planned must be completed by no later than 31 May 2022.
- Academic staff who officially teach (faculty members, lecturers, instructors) can benefit from Erasmus+ Staff Mobility for Teaching. Teaching staff who do not have a teaching obligation cannot benefit from this activity.
- Staff mobility duration - excluding travel days - is at least 2 days and at most 6 weeks. However, depending on the number of applications and considering the grant allocated to our University, the number of staff benefiting from mobility will be determined by the authorised commission.
-
Important Note: For our academic staff who will participate in teaching activities of 2 weeks or more, additional grant may be allocated by our institution upon official assignment as a result of the application evaluation, therefore the content of invitations and work plans must be prepared carefully. (Only valid for Erasmus+ Programme Countries in Europe)
-
If the activity lasts longer than 1 week, the mandatory teaching hours must increase in proportion to the duration (e.g., since 8 hours of teaching is mandatory for a 1-week activity, at least 16 hours of teaching is mandatory for a 2-week activity).
- Important Note: In staff mobility for teaching, if the certificate of participation shows that the beneficiary carried out the activity for less than 2 days and/or taught fewer hours than required, the activity will be considered invalid, no grant payment will be made to the beneficiary, and if payment has been made, a reimbursement notice will be issued (excluding travel days, there is an obligation of at least 2 days, at most 5 days, and a total of 8 hours of teaching).
2. Staff Mobility for Training (Maximum number of candidates to be selected: 26)
- Training mobility can be carried out at ECHE holder higher education institutions with which the university has an Erasmus+ Bilateral Agreement, or at universities and/or enterprises found by the staff wishing to benefit from the activity through their own connections. Applications made within the quotas offered by existing bilateral agreements and applications made for training at enterprises found by the staff wishing to benefit from the activity are subject to the same evaluation process.
- For mobility for training, it is not required to have an agreement between the host institution and our university.
- In Erasmus+ Staff Mobility for Training, priority is given to research assistants as academics and to administrative staff.
- IMPORTANT NOTE: To be eligible for a grant after training mobility, one must receive training for at least 2 days at the host institution. The maximum number of days for which a grant will be given is limited to 5 mobility days. Travel days must be planned outside the days spent at the host institution. Staff may benefit from the activity without a grant if they wish.
- This action allows any staff employed at an ECHE holder higher education institution or enterprise to receive training in one of the EU member states for a period of at least 2 days and at most 6 weeks, excluding travel days.
Erasmus+ Staff Mobility GrantsThe daily subsistence rates to be provided to staff benefiting from Staff Mobility activities are shown in the table below, taking into account the living standards of the 28 EU member states and 6 non-EU programme countries.

- The daily/weekly grant provided to staff benefiting from staff mobility covers expenses such as accommodation, meals, communication costs, local travel expenses, in-city travel expenses, home insurance costs. No separate payment is made for these expenses. Travel must be undertaken using economical travel alternatives; otherwise, the expense will not be considered an eligible travel cost.
- The maximum daily/weekly grant amount payable to a beneficiary staff member is the amount calculated for the total of the days on which joint academic/educational activities were carried out with the host institution as shown in the staff work plan, plus the travel days.
- For a daily grant payment to be made to a staff member benefiting from staff mobility, the staff member must have carried out joint academic/educational activities with the host institution as close as possible to a full day on the day in question, and this information must be documented with a work plan or certificate of participation signed by both parties.
- A grant payment may be made for travel days (provided that they are supported by travel documents and do not exceed 1.5 days in total, 1 for outward and 0.5 for return journey).
- No grant payment will be made for days on which no activity takes place or joint academic/educational activities with the host institution cannot be documented.
- In order to disseminate Higher Education Institution staff mobility (so that more staff can benefit from the programme), the Institution may decide not to pay the accrued amount for the staff member's travel days. If such a decision is taken, it will be announced to the entire target group and applied equally to all staff.
- Payment is made after the original documents (boarding pass, passport entry/exit certificate, visa fee payment documents, etc.) are submitted to our unit at the end of the activity.
- Important Note: Mandatory PCR test fees
- 1. PCR tests must be mandatory and the costs must be documented.
- 2. Costs can be covered if required mandatorily in the sending country, the host country, or both.
- In order to disseminate Higher Education Institution staff mobility activities (to enable more staff to benefit from the programme), the Institution may decide to pay less than the travel expense deemed appropriate by our Centre for the benefiting staff member. If such a decision is taken, it will be announced to the entire target group and applied equally to all staff.
- The grant for the staff member carrying out the mobility is paid in 2 instalments. The first instalment is paid as 80% of the grant before the mobility begins. The second instalment (20%) is paid after the staff member returns and submits the "Certificate of Participation" and "Activity Report".
- Staff may also benefit from staff mobility activity without a grant if they wish. In this case, staff without a grant will go through the same application and selection process as grant recipients and will be obliged to submit the same documents.
VISA APPLICATIONFurthermore, no grant is provided for visa expenses. The successful candidate is solely responsible for applying for a visa. If requested, our Coordinator's Office may issue a "Consular Confirmation Letter/Support Letter". This document must be requested by sending the most recent acceptance letter to
[email protected] at least 5 working days before the visa appointment.
Additional Grants for Disabled StaffDisabled beneficiaries participating in the Erasmus programme may be given additional grants to assist with their special needs in addition to the standard Erasmus grant they receive. In case of such need, our Coordinator's Office must be informed.
Rights and Obligations Regarding Staff Mobility
- During the period spent abroad within the scope of Erasmus+ Staff Mobility, the relevant staff member continues to receive their salary in Turkey.
- The time spent abroad by staff within the scope of Erasmus+ Staff Mobility is included in their normal service and cannot impose additional service obligations on them.
- Staff going abroad within the scope of Erasmus+ Staff Mobility cannot receive travel allowance and daily subsistence from their own faculty/department/unit
Institutions/Organisations Not Eligible for Erasmus+ Staff Mobility
- EU institutions and EU agencies
- Organisations implementing EU programmes and receiving grants for this purpose
- Our national diplomatic representations in the host country (such as consulates)
Evaluation Criteria:
- Each year, within the scope of the Staff Mobility budget allocated to our university, our academic and administrative staff are sent abroad through Erasmus+ Staff Mobility. If the grant does not cover all applications, an evaluation will be made taking into account the following priorities:
- Staff who have not participated in mobility activities before,
- Staff going to countries/universities not visited before,
- Disciplines that have not benefited from mobility activities before,
- Academic staff who have made bilateral agreement(s) themselves,
- Academic staff currently serving as Erasmus+ department or faculty coordinators,
- Staff going to a university to be visited for the first time with a new agreement,
- Those who have not benefited from the programme in the last academic year,
- Foreign language proficiency is prioritised,
- In Training Activities, administrative staff are prioritised.
- Staff with longer years of service in the institution,
- Staff who applied to the programme the previous year and completed all procedures but could not benefit from the programme due to force majeure (if documented),
- Disabled staff are prioritised (if documented),
- Priority will be given to veteran staff and staff who are spouses or children of martyrs and veterans (if documented). Furthermore, during the evaluation, ensuring/supporting the balance of incoming/outgoing Erasmus+ student/staff exchange numbers will also be taken into account.
Evaluation Results:Evaluation results will be announced no later than 27 July 2021 on the Main Web page of IAU Erasmus Institutional Coordinator's Office and at http://erasmus.aydin.edu.tr/ under ‘announcements’, as a Main and Reserve List. In the event of an increase in budget possibilities, reserve candidates will also be enabled to participate in grant-funded mobility. If successful candidates fail to fulfil their responsibilities, their rights will be transferred to the next reserve person by the decision of the selection commission appointed by the Rectorate. If it is understood that mobility cannot be carried out, this must be reported to our Coordinator's Office without delay. Since unused and reimbursed grants will negatively affect the grant distribution results of the following year, our University acts with the aim of maximising the use of allocated public resources.

The Erasmus+ grant is distributed by the National Agency through the European Commission. Selected students will receive their grants within the budget limits of our currently active 2020 KA103 Project.
The amount of monthly financial support to be given to Erasmus+ students selected with a grant for the study/internship period they spend abroad can be accessed via this link: https://www.aydin.edu.tr/en-us/international/erasmus/outgoing-students/Pages/BEFORE-LEAVING-IAU.aspx
The Erasmus+ grant to Turkish Universities is shared by the National Agency through The European Commission. Selected students will receive their grants within the budget limits of the 2020 KA103 Project currently active.
General information on the monthly grants for awarded students can be accessed at: https://www.aydin.edu.tr/en-us/international/erasmus/outgoing-students/Pages/BEFORE-LEAVING-IAU.aspx
Since it will not be possible for students to make changes to their preferences later; we recommend that IAU students who will apply pay attention to the language of instruction of the university and that the courses largely match the courses at IAU when making their choices. Students must choose 5 universities on the system. (If there are not 5 universities to choose from on the system, fewer universities may be chosen). Since the first choice will be considered as the first institution the student wants to go to, this order must be done accordingly.
If students cannot be placed in the universities they chose due to their scores or preferences, they may be placed in other suitable universities. Again, for the same reason, it may be possible not to be placed in any university at all.
It must be ensured that the chosen universities will offer a total of at least 30 ECTS courses to Erasmus+ students. Master's and PhD students are advised to choose universities that give credits for their thesis and assign a thesis advisor.
IAU Erasmus+ Office suggests IAU Students about paying attention to the courses equivalences and language of instruction of the universities that will be preferred on their online application system. Students will be requested to select 5 universities upon applying (for some departments there will be less than 5 universities available; only in this case the students can choose less than 5 universities). The selection should be made carefully, paying attention to the first university selected (which should have most course compatibility with the student's program at IAU).
Students might not be placed to the universities that they choose because of their scores or university choices. These students can be placed to other available universities. In addition, it is possible that they might not be placed to any university at all.
Students also need to make sure that the universities they choose offer at least 30 ECTS in total for Erasmus+ students. Master and PhD students are suggested to choose universities, which give ECTS to their thesis research and appoint a thesis advisor to them.
Students applying for Erasmus+ Internship mobility must upload a letter of acceptance from the institution where they will intern or a confirmation e-mail of acceptance to the "Erasmus+ Traineeship/Internship Acceptance Letter" section that will appear when internship is selected on the application system. Otherwise, an application for internship mobility cannot be made.
If you do not have the opportunity to find an Erasmus+ Internship place by the application deadline, you can apply only for Erasmus+ Study Mobility (provided you meet the conditions of being a first, second or third year full-time student at IAU).
For students applying for an Erasmus+ internship/traineeship mobility it is compulsory to upload in the application form their Internship Acceptance Letter (for a min. 60 days period) or a Confirmation of Acceptance e-mail from the host institution in the field "Erasmus+ Traineeship/Internship Acceptance Letter". Without the necessary Acceptance letter, the Erasmus+ internship application will not be considered valid.
If you are in the impossibility of finding an Erasmus+ Internship until the end of the application period, you can still apply just for an Erasmus+ Study Mobility (provided you are a student in the first, second, third year of study at IAU).
Erasmus+ grants will be allocated to as many of our students as the budget allocated to our University by the National Agency permits. Our unit does not guarantee that any student will be a grantee other than the Erasmus+ grant allocated to our university.
A number of the selected students can benefit from the total Erasmus+ Grant allocated to Istanbul Aydın University by Turkish National Agency. In consequence, our University cannot guarantee that all the selected students will receive a monthly Erasmus+ grant for their study/placement mobility.
It is important to note that IAU students should take this situation into account in their Erasmus+ mobility applications and that they cannot demand any grant from ISTANBUL AYDIN UNIVERSITY in case of insufficient grants.
IAU students should take this into consideration. In case of insufficient grants, it is notified that they would not demand any grants from Istanbul Aydın University.
Specific to COVID-19 conditions, if the university to which the student is selected announces that it will conduct its education entirely online for the semester the student will go, if the student participates in the online education of the partner university in Turkey without going abroad, they will not receive a grant. Only our students who will be abroad will be able to receive a grant.
In view of the COVID-19 pandemic global situation, students selected for an Erasmus study mobility will have the possibility of attending either an online/hybrid or physical mobility at one of our partner institutions. If the partner institution announces just an online mobility and the student participates it from Turkey without the possibility of traveling to the host country, the student will not receive the grant. Only students who will be able to travel abroad to the host country will be able to receive the Erasmus+ grant.
