Purpose and Scope
ARTICLE 1 – (1) The purpose of this Directive is to regulate the procedures and principles regarding the organizational structure, duties, powers, and responsibilities of the Sustainability Coordination Office and the Sustainability Committee, which are intended to serve together with stakeholders to ensure the planning and implementation of relevant activities within the framework of Istanbul Aydın University's Sustainability policy.
Definitions
ARTICLE 2 – The following terms used in this Directive shall have the meanings stated below:
- Rector: The Rector of Istanbul Aydın University,
- Vice Rector: The relevant Vice Rector of Istanbul Aydın University,
- Sustainability Committee: The Sustainability Committee of Istanbul Aydın University,
- Sustainability Coordination Office: The Sustainability Coordination Office of Istanbul Aydın University,
- Senate: The Senate of Istanbul Aydın University,
- University: Istanbul Aydın University,
- Member: Refers to members of the Sustainability Committee appointed by the Senate,
- University senior management: The Board of Trustees, Rector, Vice Rectors,
CHAPTER TWO
Purpose, Working Principles, Duties and Responsibilities of the Coordination Office
Purpose
ARTICLE 3 – (1) The purpose of the Coordination Office is to carry out studies for determining the university's sustainability strategies, preparing action plans and ensuring their implementation, to organize the sustainability ecosystem by guiding university units, to raise individual, social, and institutional sustainability awareness, and to contribute to improvement activities aimed at increasing the institution's sustainability competence and achieving sustainable development goals.
Duties and Responsibilities
ARTICLE 4 - (1) The Coordination Office is responsible for performing the following duties:
- To guide the preparation of the university's sustainability policy text and contribute to its implementation,
- To participate in studies for determining, monitoring, and evaluating sustainability strategies to elevate the university in national and international university rankings regarding sustainability,
- To ensure coordination with relevant units operating in the field of sustainability at the university,
- To establish collaborations with stakeholders on sustainability-related issues,
- To evaluate the proposals submitted by the Sustainability Committee,
- To organize trainings on topics related to the activity areas of the Coordination Office
CHAPTER THREE
Organizational Structure of the Coordination Office, Duties, Powers and Responsibilities of the Coordinator
ARTICLE 5 – (1) The Coordination Office operates under the relevant Vice Rector in charge and is led by a Coordinator and a Deputy Coordinator.
(2) The academic, technical, and administrative staff needs of the Coordination Office are met by personnel assigned by the Rector. Part-time or volunteer students may also work in the office for projects, events, or research purposes.
(3) The organizational chart of the Coordination Office is shown below.

Coordinator
ARTICLE 6 – (1) The Coordinator is appointed by the Rector for a period of three (3) years and may be reappointed after the term ends or removed before the term expires if deemed necessary.
Duties, Powers and Responsibilities of the Coordinator
ARTICLE 7 – (1) The duties of the Coordinator are as follows:
a) To represent the Coordination Office internally and externally,
b) To plan and implement necessary activities to achieve the objectives of the Coordination Office, monitor results, make necessary improvements, and provide recommendations to senior management,
c) To coordinate with the Committee, relevant university units and student clubs to establish a sustainability ecosystem at the university,
d) To manage the administrative affairs of the Coordination Office,
e) To prepare the agenda of the Committee and evaluate the decisions taken,
f) To liaise with institutions and organizations in the field and develop joint projects,
g) To ensure the implementation of the university's sustainability policy by its units,
h) To organize activities related to the university's sustainability strategies and ensure necessary collaborations,
i) To monitor and archive all scientific and social studies related to sustainability at the institution,
j) To prepare reports, provide information, and make recommendations to the university senior management when necessary,
k) To coordinate the preparation, updating, and implementation of the University Corporate Sustainability Report and related action plans,
(2) The Coordinator is accountable to the Rector and the relevant Vice Rector.
(3) In the absence of the Coordinator, the Deputy Coordinator shall act as a substitute. If the substitution exceeds six months, a new Coordinator shall be appointed.
Deputy Coordinator
ARTICLE 8 – (1) The Deputy Coordinator is appointed by the Rector for a period of three (3) years and may be reappointed in the same manner or removed before the term ends if deemed necessary. When the Coordinator's term ends, the Deputy Coordinator's term also ends.
Duties, Powers and Responsibilities of the Deputy Coordinator
ARTICLE 9 – (1) The duties of the Deputy Coordinator are as follows:
a) To perform tasks assigned by the Coordinator and report them to ensure continuity and efficiency of the sustainability ecosystem,
b) To monitor the implementation results of activities planned by the Coordinator and ensure coordination,
c) To act as a substitute for the Coordinator in their absence,
- To perform other duties assigned by the Coordinator.
(2) The Deputy Coordinator is accountable to the Coordinator.
Sustainability Committee
ARTICLE 10 – (1) The Chairman of the Sustainability Committee is the relevant Vice Rector appointed by the Rector.
- The Committee consists of teaching staff from different academic disciplines, at least one student, and at least two members from various administrative units.
- Committee members are appointed by the Rector.
- The term of office of members is three (3) years; members whose terms expire may be reappointed in the same manner, or replaced before the term ends if deemed necessary.
- If a member leaves for any reason, the Rector appoints a new member within one (1) month to complete the remaining term.
- Members who fail to attend three (3) consecutive meetings without valid excuse, wish to resign, or become unable to perform their duties, shall have their membership terminated automatically without waiting for the end of the term.
- The decisions of the Committee are advisory.
ARTICLE 11 – (1) The Committee meets at least once a month upon the call of the Committee Chairman.
(2) The Committee convenes with a quorum and decisions are made by open vote and majority. In case of a tie, the vote of the Committee Chairman is decisive.
Duties, Powers and Responsibilities of the Sustainability Committee
ARTICLE 12 – (1) The duties of the Committee are as follows:
a) To provide opinions and recommendations to the Coordination Office regarding the university's sustainability activities,
b) To provide opinions and recommendations to evaluate and improve sustainability performance through the activities of the Coordination Office,
c) To conduct collaborative work as necessary regarding the activities of the Coordination Office,
d) To support the activities of the Coordination Office,
e) To ensure the preparation of sub-action plans,
f) To provide opinions and recommendations to the Coordination Office regarding the university's sustainability policies,
g) To allocate the targets identified in policy documents among Committee members and ensure the implementation of action plans toward achieving these targets,
h) To collaborate with the Coordination Office in the preparation of annual progress reports regarding targets set in policy documents,
i) To provide suggestions to the Coordination Office regarding the content of personnel and student training within the framework of the university's sustainability policy and activities,
j) To develop projects and activities in the field of sustainability.
Duties of the Administrative Staff of the Coordination Office
ARTICLE 13– (1) The duties of the administrative staff of the Coordination Office are as follows:
- To act as rapporteurs in Committee meetings,
- To carry out correspondence of the Coordination Office,
- To perform other duties assigned by the Coordinator and Deputy Coordinator.
CHAPTER FOUR
Miscellaneous and Final Provisions
ARTICLE 14 – (1) This Directive enters into force as of the date it is approved by the University Senate.
Execution
ARTICLE 15 – (1) This Directive is executed by the Rector of Istanbul Aydın University.
