2023-14, Appendix-01 Faculty of Engineering Graduation Project Course Implementation Principles


Purpose

Article 1- These principles regulate the implementation rules regarding Graduation Project I and Graduation Project II.


Scope

Article 2- These principles cover the provisions regarding the planning, implementation, supervision, and evaluation of Graduation Project courses that students enrolled in the Faculty of Engineering at Istanbul Aydın University are required to take as part of their undergraduate education.


Basis

Article 3- These principles have been prepared based on Articles 14, 17, 43, and 44 of Law No. 2547 on Higher Education and the provisions of Istanbul Aydın University Undergraduate Education and Examination Regulations.


Definitions

Article 4- In these procedures and principles, the following terms are defined as;

(a)  Academic Board: It is the board consisting of the Department Heads, Vice Department Heads, and Program Heads of the Faculty of Engineering at Istanbul Aydın University, as well as a vice dean assigned by the Dean.

(b)     Project Coordination Unit: The unit that coordinates the proper execution of project works within the framework specified in the project assignment and implementation principles.

(c)  Project Coordinator: The person assigned by the dean who coordinates the proper execution of project works within the framework specified in the project assignment and implementation principles.

(ç) Advisor: Faculty member and/or instructor who supervises the projects of groups whose project proposals have been approved.

(d)   Project Schedule: The schedule indicating when, where, and by whom the tasks specified in the project assignment and implementation principles will be carried out during the semester. The Project Schedule is determined by the Faculty Board.

(e)  Graduation Project: Courses taken in the fourth year according to the education plan. Also referred to as graduation work.

(f)  Project Topic: Indicates the general framework of the graduation project.

(g)  Project Scope: Indicates the narrower scope within the defined project topic of the graduation project.

(ğ) Interim Report: A written report prepared according to project writing principles, showing the current status of the graduation project.

(h)   Cardboard Cover Report: The white cardboard-covered report that students, who are deemed suitable to enter the project defense/exam by the project supervisor, must submit and which will be evaluated by the jury during the exam.

(ı) Project Book: The cardboard-covered report to be prepared for projects that pass the project defense/exam.

 

 

Prerequisites and Important Matters

Article 5- The graduation project can be taken by students who meet the requirements specified in the regulation determined by the senate.

Article 6- Projects are conducted by project groups of a maximum of five members, with no more than three members from the same department. In cases such as competition projects, this restriction can be removed with the approval of the academic board.

Article 7- Faculty members and instructors can supervise graduation projects. With the approval of the academic board, research assistants who have completed their master's education can also be included as supervisors.

 

 

Project Proposal Process

Article 8- Project Proposal Process for Faculty Members

  1. Faculty members submit their project proposals within the specified dates.
  2. Faculty members submit at least four project proposals. The number of project groups and the departments of group members must also be specified in the proposal.
  3. The same project proposal can be assigned to more than one group with the approval of the Academic Board. Proposals submitted by faculty members are evaluated by the Academic Board.
  4. The titles of the project proposals approved by the Academic Board are announced to the students.


Article 9- Project Proposal Process for Students

(a)  Students submit their project proposals within the specified dates to a faculty member whose research area is close to the project topic. Group members and their departments are specified in the proposal.

(b)  Faculty members review the proposal, request changes if necessary, and submit the final version to the Academic Board.

(c)  Proposals submitted by students and presented by faculty members are evaluated by the Academic Board.

(ç) Students whose proposals are approved by the Academic Board are notified.

 

 

Distribution of Graduation Projects

Article 10- Distribution of projects proposed by faculty members and approved by the Academic Board:

(a)  Students apply to the announced graduation projects within the predetermined date range via a petition. A student may apply to a maximum of three project proposals according to their preference order.


(b)  Applications can be made individually or as a group.

(c) Distribution of project topics begins with group applications. If multiple groups apply for the same project, the average GPA of the students forming the groups is calculated, and distribution is made starting from the group with the highest GPA according to their preferences.

(b) Students are ranked by GPA from highest to lowest for project topic distribution. Projects are assigned in order according to students' preferences.

Article 11- Projects proposed by students and approved by the Academic Board are assigned directly to the proposal owners.

 

 

Project Submission Process

Article 12- Students submit their project reports on the dates specified in the project schedule.

Article 13- Reports are submitted at the previously announced location against signature. For projects conducted by multiple students, the signature of one student is sufficient.

Article 14- Project reports are written in Turkish for programs with Turkish as the language of instruction, and in English for programs with English as the language of instruction, according to the project book template.

Article 15- Interim reports are submitted in a blue plastic file for Turkish reports and in a yellow plastic file for English reports. Each page of the project is not placed in a separate transparent sleeve. The number of interim reports is determined by the project advisor, at least twice per semester.

Article 16- When submitting interim reports, any previously submitted interim reports must also be submitted. Interim reports are returned to students after advisor meetings so that necessary adjustments, modifications, and additions can be made correctly.

Article 17- Students must submit at least half of the interim reports. Students who do not submit or who do not contribute to the project are considered absent, and their project process for that year is terminated. At this stage, remaining students are required to submit a cardboard-covered report.

Article 18- The cardboard-covered report is bound with a blue cover for Turkish reports and a yellow cover for English reports.

Article 19- The cardboard-covered report must be submitted during the semester. Students who do not submit it on time cannot take the project evaluation exam (final).

Article 20- Students who submit the cardboard-covered report late or incompletely may take the make-up exam if they submit it within the dates specified in the project schedule.


Project Evaluation Process

Article 21- Projects deemed insufficient by the project advisor are not allowed to enter the final or make-up exams.

Article 22- Examination juries, determined by the project coordination unit, consist of 3 members, including one project advisor.

Article 23- Project grading consists of;

  1. Midterm evaluation: Accounts for 25% of the total success grade. It reflects the student's effort and work discipline on the project. Project students/groups who do not hold at least three meetings with their advisor according to Form-3 are not evaluated.
  2. Jury examination: Accounts for 75% of the total success grade. It reflects the performance of the project and its documentation. Jury members' grades carry equal weight.


Article 24- The grades required to pass the project evaluation are shown in the table below

Article 25- Projects that are insufficient in evaluation are given time until the make-up exams with jury approval.


Make-up Process

Article 26- Projects deemed insufficient by the project advisor are not allowed to enter the make-up exam.

Article 27- The make-up process is initiated for students who are insufficient or did not attend the project final exam.

Article 28- The cardboard-covered report must be submitted within the specified period. Students who fail to submit on time cannot take the make-up exam. 

Article 29- The evaluation criteria are the same as those for the project final exam. 


Post-Evaluation Process

Article 30- Project books are prepared for projects deemed successful in the evaluation.

(a)  The project book, prepared with a white cardboard cover, is submitted together with the CD containing the necessary documents and files on the dates specified in the project schedule.

(b)  With the complete submission of the project book and CD, the project process is considered completed.


Article 31- Projects that could not be completed for various reasons may continue in the summer school with advisor approval.

  1. For projects allowed to continue, the project topic cannot be changed without the advisor's approval.
  2. With the advisor's approval, the same project may continue with another advisor.


Enforcement and Execution

Article 32- The provisions of these procedures and principles are executed by the Dean of the Faculty of Engineering at Istanbul Aydın University.
